StaffingPlus at $100 per month adds the ability to send bulk availability inquiries and job offers through the Staffing Assistant, receive in-app confirmations, and gives crew access to a web portal where they can view assigned jobs, enter unavailable dates, and sync with Google Calendar. Flex does not have a native crew app with push notifications and callsheet access. For operations where what happens to the gear is as important as what happens to the crew, the platform underneath the app matters more than the app itself. Every platform makes decisions on behalf of its customers. These are places where Flex gives you the configuration and Rentman has made a fixed decision. Worth knowing before you commit.
Invoice editing and finalization
Rentman’s immutable invoice setting permanently locks invoices once finalized and the setting itself cannot be turned off once enabled. Flex gives you the choice. Edit, delete, and undelete invoices as your operation requires. If your compliance or audit requirements call for locking, Flex supports that through status controls and user permissions. You decide, not the software.
Project and job status model
Rentman has no invoiced project status, and custom project statuses are not natively supported. Their own documentation notes no concrete plans have been made to add this. Flex lets you define your own workflow statuses to match how your operation moves a job from quote to close, including an invoiced state that your whole team can see and filter on.
Corporate identities
Multiple legal entities, logos, and brands operating against one shared inventory pool from a single Flex subscription. Each entity sends its own fully branded documents, the right document from the right company, every time. Rentman requires a separate workspace and subscription per independent entity. That means separate inventory pools, separate billing, separate logins. There is no path to multiple brands against shared inventory in Rentman at any price.

Common Questions
For operations managing complex inventory across multiple locations, yes. For 1 to 3 person shops just getting started with straightforward needs, Rentman may be the right first platform. That said, Rentman is priced for where you are. Flex is priced for where you are going. Flex is built for operations where the complexity of live events and AV production is the daily reality, not the exception. If you have outgrown your current platform, or have the ambitions that you will, that is the signal to look at Flex.
Yes, and this is one of the most consequential differences between the two platforms. Job-to-job transfers are a first-class workflow in Flex. When gear is committed to a job it is locked from the available pool across all locations. Move it directly from one active job to another without returning to the warehouse. Transfers are tracked with scanning confirmation at both ends, availability updates in real time as gear moves, and every team member at every location sees the same live data simultaneously. Rentman’s own documentation states: “While native support for this workflow is being developed, you can already manage it effectively using a simple workaround with custom warehouse statuses.” The workaround requires manually coordinating custom statuses between warehouse and on-site teams. Availability does not automatically update during the transfer. For operations running back-to-back productions in peak season, this is exactly where inventory errors happen.

Yes, with additional locations available as paid add-ons. Flex starts at $510 per month for your first location. Additional locations are $150 for a second, $100 each for locations three through five, and $75 per location beyond that. Rentman also charges per additional warehouse at $5 per warehouse per month on Inventory Pro. Both platforms support multi-location operations. Where Flex has a meaningful advantage is in how deeply it handles the complexity: real-time availability across all warehouses simultaneously, transfers between locations with full audit trail, and shortage resolution that accounts for in-transit inventory so gear moving between sites does not create phantom availability. Flex customers run 10 or more warehouse locations on the same system they started on.

Scanning entire kits as a unit, handling partial configurations across concurrent jobs, and tracking serialized components inside kits are all supported workflows. When a component is pulled from a kit for a separate job, Flex knows and the kit’s availability reflects it immediately. Rentman’s own help center documentation acknowledges that scanning combinations requires a strict order: scan out of sequence and contents get added to the project twice. Their team notes they are currently working to make the flow more intuitive.

Rentman implies otherwise on their comparison page and that is not accurate. Flex does not have a native crew app with push notifications and callsheet access. Flex StaffingPlus at $100 per month adds automated bulk workflows and a web portal crew can access from any mobile browser to view assigned jobs, manage availability, and sync with Google Calendar. If a native crew app with push notifications is your primary requirement, Rentman has one and Flex does not. We would rather you know that now than six months into a migration.
